Email Archiving FAQ

Where are archived messages stored?

Your email is stored in several secure data centers on WORM drives.

How are archived messages accessed?

End users can securely access their own archive 24×7. You can retrieve and redeliver messages to your local mail server at any time.

Is it possible to delete messages from the archive?

No. All messages are securely stored until their expiration date. The expiration date is determined by the number of years your firm needs to archive messages to be in compliance.

Is it possible to search for keywords in the body of a message or email attachment?

Yes. There are full boolean search capabilities that are available to compliance officers and administrators.

Is there any hardware or client software required for email archiving?

No. Clients who optionally subscribe to instant message archiving may require software and/or firewall configuration.

Is it possible to upload an existing archive?

Yes. For an additional fee existing archive data can be uploaded and securely stored.

How are messages reviewed?

We enable supervisors to quickly and efficiently perform post-review supervision of electronic messages. Messages are copied into the Supervisory module based on a keyword or key phrase match and by random sampling. The dictionary of key words and phrases is maintained by the customer. This efficient tool allows the supervisor to highlight a range of messages and traverse through each message, marking each as “reviewed” or “in suspense.” Message Supervision reports can be run by the supervisor and/or the compliance manager to ensure that supervisors are actually performing the supervision tasks.

Does a full audit trail exist?

Yes. Messages are time and date stamped in the archive and there is a reporting mechanism that displays all actions that have been logged in the archive such as report generation or message review.
